Request for Proposal (RFP) for Graphic Design Services

Overview

Music PEI is seeking a skilled and creative graphic designer to work on a 6-month contract. The selected designer will assist with branding, design, and marketing materials for two of our annual events: Showcase PEI, and Music Week. 

Scope of Work

The contracted graphic designer will be responsible for creating and delivering various design materials for the following events:

1. Showcase PEI (September 2024)

• Design and layout of the program guide.

2. Music Week (March 2025)

• Development of the event theme, branding, and logo.
• Design of social media templates.
• Print and digital ads.
• Creation of T-shirt designs.
• Design of posters, window decals, and street banners.
• Slide templates for the awards show.
• Design and layout of the event guide.

Qualifications

• Proven experience in graphic design with a strong portfolio showcasing previous work.
• Proficiency in design software such as Adobe Creative Suite (Photoshop, Illustrator, InDesign).
• Experience in creating marketing materials for events.
• Ability to communicate and understand client needs, meet deadlines and work collaboratively with a team.
• Understanding of the music industry and event branding is an asset.

Proposal Requirements

   • Highlight relevant experience and qualifications.
2. Portfolio
   • Provide examples of previous work, especially related to event branding and marketing materials.
3. Approach and Methodology
   • Outline your approach to the design work required for each event.
   • Describe your process for collaborating with clients and incorporating feedback.
4. Budget and Pricing
   • Provide a detailed breakdown of your pricing structure.
   • Include any additional costs that may be incurred.

Selection Criteria

Proposals will be evaluated based on the following criteria:

• Quality and creativity of the portfolio.
• Relevant experience and qualifications.
• Understanding of the project scope and requirements.
• Appropriateness and feasibility of the proposed budget.

Terms and Conditions

• Music PEI reserves the right to accept or reject any or all proposals received.
• The selected designer will be required to sign a contract outlining the terms of engagement.
• Payment terms and schedule will be negotiated with the selected designer.
• Preference will be given to designers located in Prince Edward Island.
